Privacy Policy

Gemynd builds software for funeral homes and the families they serve. Much of what passes through our products is deeply personal — photographs, obituaries, death certificates, and recorded memories of someone who has died. This policy explains what we collect, why, and what we will not do with it.

Who we are

Gemynd LLC ("Gemynd," "we," "us") is a limited liability company located in the State of Georgia, with a business address at 6440 Vickery Creek Rd, Cumming, GA 30040. We operate the WestFlow suite, including Story Scribe, FlowVault, FlowHub, FieldFlow, FlowView, AIVA, and related services (collectively, the "Services").

Two kinds of relationship

How we handle information depends on who gave it to us.

When a funeral home or business uses our Services, they decide what information enters the system and how long it stays. We process that information on their instructions. If you are a family member whose records live in a funeral home's account, that funeral home is the right place to direct requests about your information, and we will support them in responding.

When you use our Services directly — for example, creating an account on Story Scribe to make a tribute — we make those decisions ourselves, and this policy governs.

What we collect

Information you give us

Category Examples
Account information Name and email address. If you sign in with Google, we receive your name, email address, and profile picture from Google. We do not receive your Google password.
Content you upload Photographs, obituaries, letters, certificates, service records, and other documents and images you or your funeral home add to a case or story.
Conversations Text and voice conversations with our assistants. Voice conversations are transcribed to text and the transcript is retained; we describe audio retention below.
Information about a deceased person Names, dates, places, relationships, and life events, drawn from what you provide and from public records you ask us to search.
Business contact information Names, titles, and contact details of funeral home and dealer staff who use the Services.

Information we collect automatically

Sensitive information

Our Services are designed to handle records that some jurisdictions treat as sensitive — death certificates, authorizations, and health-adjacent details that appear in an obituary or a family's account of a life. We collect this only because our customers ask us to store and organize it, and we apply the safeguards described below.

How we use information

We do not sell your information. We do not share it with advertisers. We do not use the content you upload to train general-purpose AI models, and we do not permit our AI providers to do so either.

Artificial intelligence

Our Services use AI to read documents, transcribe conversations, write narratives, generate images and audio, and in some cases animate a photograph. To do this, content you provide is transmitted to third-party AI providers for processing. Those providers act on our instructions and are contractually restricted from using your content to train their models.

Some output is generated rather than recorded. Where a Service produces a generated image, generated narration, or an animated portrait, we label it as such in the product. Narrative text produced by Story Scribe is traced to the sources it came from, and those sources are shown to you.

AI output can contain errors. You are responsible for reviewing anything produced by the Services before relying on it or sharing it with a family.

Sharing links you create

Some Services let you create a link that anyone can open without an account — a tribute page, or a request for a family to upload documents. Anyone with the link can view what it points to. These links expire, but until they do, treat them as public. Do not send them to people you do not intend to give access.

How long we keep information

We keep account information for as long as your account is active. Content uploaded to a business account is retained according to that business's instructions and its agreement with us. When an account is closed, we delete or de-identify associated content within 90 days, except where we are required to retain it by law.

Backups may persist for a limited period after deletion and are overwritten on a rolling schedule.

Security

We protect information with encryption in transit and at rest, database-level access controls, scoped access tokens, and restricted administrative access. No system is perfectly secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your information, we will notify you and any affected business customer as required by law.

Your choices and rights

Depending on where you live, you may have the right to access, correct, delete, or export your information, to object to certain processing, and to withdraw consent. To exercise these rights, contact privacy@gemyndflow.com. If your information lives in a funeral home's account, we will direct your request to them and assist in responding.

We will not discriminate against you for exercising these rights.

You can disconnect Google sign-in at any time from your Google account permissions page. Doing so may prevent you from signing in to the Services.

Information about people who have died

Much of what our Services hold concerns people who have died. Rights over that information generally belong to the family or the estate. We respond to requests about a deceased person's information from the funeral home holding the record, or from a family member who can reasonably establish their relationship.

Children

Our Services are not directed to children under 13 and we do not knowingly collect information directly from them. Families may include photographs and details of children in a tribute; that content is treated as content uploaded by the adult who provided it. If you believe a child has provided us information directly, contact us and we will delete it.

International users

We operate in the United States and information is processed there. If you access the Services from outside the United States, you understand that your information will be transferred to and processed in a country whose data protection laws may differ from your own.

Some Services are provided to business customers outside the United States. Where a business customer is subject to data protection law in its own country, our agreement with that customer governs how we handle information on its behalf. Changes to this policy

We will post any changes on this page and update the date above. If the changes are significant, we will notify account holders by email before they take effect.
